Ellucian Ethos Integration acts as a data conduit between applications in the higher education domain.

The Ellucian Ethos connector uses API keys to authenticate requests. Ellucian connects to different authorised systems
in the higher education domain. Ellucian will provide multiple API keys, one for each authorised system
that the request will be sent to.
For example, Ellucian Ethos can be used to obtain a list of persons from either the Banner system or the Colleague system (these are Student Record Systems). However, the actual system that the list of persons is retrieved from depends on the API key used.
When creating an authentication in the workflow builder, the system for which the API key is for has to be set. It is important that the correct system is chosen at this point.
As can be seen in the screenshot above, it is strongly advised to put the name of the system the API key is for in the name of the authentication, to make it clearer in the workflow.

There are some slight differences in behaviour between the different authorised systems, and other points to be aware of listed below;

Some drop downs will contain values that are valid for either Banner or Colleague, but not both. For example, Credential types, BannerId is for Banner, whilst colleaguePersonId would be for the Colleague system. If using dynamic drop downs, it is advised to refresh the list is switching systems.
The following fields are not supported/returned by the Colleague system: Veteran status, Personal pronouns and Professional abbreviations

Example 1 - List personsCopy
In this example we will use the Criteria field and also the Person filter to retrieve a filtered list of persons from Ellucian Ethos. Please be aware that if using an API Key that connects to Banner, then the Criteria does not filter results. The Person filter ID
field must be used instead.
The Criteria object allows you to filter on specific fields such as last name or email address.
To filter by name, the field can be selected and added to the Names array, as seen below.
The type of name field can be selected on each item being added to the names list.
The other way of filtering persons is to use a person filter
. Person filters are pre-defined filters in Ellucian which allow records to be filtered. A list of these filters can be obtained using the List person filters
operation.

Example 2 - Create personCopy
The Create person
operation has a large list of input fields available. Most of these input fields are organised into object, which will usually have fields for a category name or/and an ID.
Categories are usually enumerated values, meaning there is a limited list of valid values. These are indicated by the drop downs if present in the ID fields, but are not always the same exact names. The exact names of the categories in the Banner or Colleague instance must be known.
In the example above, the category field may not be needed if the detail field is populated. If the category name is required by the authorised system, then an error indicating this will be returned (see below). For most of the category fields, there should be a drop down with a valid set of values.
When an error is returned from Ellucian, look for the message
which in this case is Name type category is required
.
Also, there are situations where some fields become required depending on what other fields are populated. The Ellucian Ethos API will return an error with a message indicating if any field has been missed, or if a field has an invalid value.
Most often, the required fields for creating a person are First name
and Last name
.
If successful, Ellucian will return the person record that has just been created.
